Job Spec

Family law secretarial experience essential.
Responsibilities for all aspects of HR, health & safety and facilities.
Experience of payroll and auto-enrolment pension.

The candidate must have skills of Executive Assistant management, organising cover and assisting with appraisals. Contract negotiation skills with suppliers. Organising all manner of insurances including PI insurance and practicing certificates.

Office Manager - Job specification

Office Manager duties
Assisting with queries on IT
Changing IT hardware (e.g. foot pedals, screens, phones etc.)
Updating existing software on PC`s when needed
Logging on to server to change settings on different programs
Liaising with IT consultants to ensure maintenance is done
Liaising with new contractors to implement new systems (broadband etc.)

HR duties
Assisting with appraisals
Flexible working applications
Ad hoc staff queries
Sickness return to work interviews
Statutory sick pay conversations/implementation
Timekeeping for staff
Approving holiday for staff and keeping records
Overseeing allocations of dictations
Organising temporary cover
Disciplinary meetings

Updating payroll with any changes
Online salary reporting to the government
Season ticket loan renewals
Pension scheme calculations
Pension scheme additions to pension provider
Approving invoices
Petty cash input and distribution
Going to bank to cash cheques

Misc duties
Reviewing contracts and either renewing or replacing contracts for various insurance renewals
PI Insurance renewals
Contract renewals for all suppliers
Negotiating new/existing contracts
COFA meeting - minutes and presenting at meeting (incl. file audit)
Reporting information on Riliance
BCP updating
Health & safety - all aspects
Facilities management - all aspects including liaising with landlord
Organising PAT testing
Inputting daily timesheets for two partners
Organising and implementing room moves
Tesco ordering
Fire marshall
First aider
Organise and agenda items for practice meetings
