Office Assistant - Interior Architects

Perm - Competitive Salary

London based Interior Architecture and Design Company with a wealth of experience in the high-end residential, commercial and hospitality sectors.

Office Assistance:

  • Answer telephone, deal with queries, filter where possible, transfer call or email message to recipient.
  • Ensure kitchen and office supplies are fully stocked
  • Liase with cleaning company
  • Check fire extinguishers and be the main point of contact with fire safety
  • Health & Safety - brief all new joiners.
  • Point of contact with regards to maintenance and insurance
  • ISO
  • Manage all leavers/maternity issues
  • Support team on an ad-hoc basis


  • First port of call for most queries for our external provider - London Systems.
  • Setting up of computer for new joiner.
  • Global email signatures
  • Adobe administrator.
  • Vectorworks - some liaison with IT support team on this


  • Assist all new starters with an induction and ensuring work space is organised
  • Send various welcome and information emails to new joiner.
  • Get eligibility to work documentation - passport and visa if appropriate.
  • Drop an email round to see if anyone can take them out at lunchtime to show them the area
  • Assist Head of Operations with HR Admin - typing up appraisal summaries etc???
  • Set up Sage details for new starters and manage accounts
  • Potentially get involved with arranging interviews.
  • Assist with preparing offer letter and contract for signature.
  • Liaise with candidate on an ad hoc basis until they join.


  • Invoicing via GIA database
  • Disbursements added from expenses, courier invoices, petty cash etc???
  • Assist Design Team in Purchasing FF&E items.
