Reporting to the Facilities Manager the receptionist will be part of the Facilities team who are responsible for the efficient running of the European headquarters office location and ensuring excelletn support and service to all customers (NFE employees and visitors).

Key accountabilites will be:

Health & Safety

Fulfil Fire Marshall responsibilites and complete any refresher training when required

Have a basic operational knowledge of fire alarm technical panel and evacuation and maintenance procedures

Fulfil First Aider responsibilites

Reception/Visitor Duties

Managing the reception desk on a day to day basis ensuring:

All visitors and employees on site are welcomed politely in a helpful and professional manner

Ensure hosts are notified promptly of their guests arrival (and follw up accordingly)

Compliance with emergency and special arrangements procedures and processes (eg media) are consistently maintained

Issue of visitors passes and maintenance of all contractor and permanent passes.

Switchboard/Telephone Duties

Switchboard to be active between 8.00am and 5.30pm

Calls to be answered promptly

Be polite and courteous to all callers

Post Room Duties

Managing on a day to day basis the:

Sorting and delivery of internal and external mail (in bound)

Receipt of parcels (inbound)

Packing and dispatching of parcels

Franking of all outgoing post

Stationery Maintenance

Ordering and maintaining stock levels

Facilities

Deputising for all the facilities manager in her absence ensuring facilities queries are dealt with in a prompt fashion

Reporting problems and ensuring fast resolution via the maintenance helpdesk

Able to work with 3rd party maintenance and service contractors giving clear instruction and direction and holding then to account

Skills and Competencies

Essential

You will need to be a committed team player with excellent communication and organisational skills. PC literacy is a must and have a flexible approach whilst being able to balance a varied workload.

Have strong problem solving skills and common sense whilst being proactive and able to demonstrate independent thinking.

A background in reception and facilities support is essential.
