We're looking for an HR Operations Specialist to help run and deliver the operational side of everything we do. Purpose Summary Take full responsibility for all HR operational activities at a meticulously high standard and ensure delivery of an outstanding employee experience. The key areas of responsibility for the HR Operations Specialist include: - Operations - Systems and processes - Risk and compliance Skills, Experience and Qualifications Essential Skills - Previous experience of working within a busy HR or Payroll Team in an operational capacity - A good knowledge of MS Office applications, including Outlook - Previous experience of working with an HR IS (preferably Octopus) - A calm, friendly and professional manner. A sense of humour will also help Desirable Skills - Previous experience of working with Agile methodology / processes - Degree level education or equivalent, and ideally an HR qualification Competencies - Obsessive attention to detail and persistence in ensuring that tasks are completed thoroughly and accurately; - Able to plan and deliver a varied and busy workload through good time management and prioritisation, self-organisation and remaining calm and objective under pressure; - Able to communicate well and build positive relationships; - Flexible - willing to 'muck in' where needed, come up with fresh ideas and embrace change; - High standard of personal presentation and conduct, including integrity, confidentiality and sensitivity, and a strong commitment to representing the People Team professionally. Principal Responsibilities HR Operations - Manage the new starter process including pre-employment screening, processing incoming documentation, new desk set-ups, welcome packs and creating / monitoring induction plans; - Track the progress of all new starters through their probationary periods, ensuring that induction plans are being followed, review meetings are happening and any problems are flagged quickly; - Monitor the People Team mailboxes (HR, Absence, Wellness and Recruitment), ensuring that queries are responded to by the appropriate team members and requests are not overlooked; - Process training requests by ensuring that application forms are completed, correct authorisation is obtained, courses are booked and feedback forms are submitted; - Provide references for former employees and standard responses / information / letters for current employees; - Manage the leaver process including calculating holiday balances, issuing leaver letters, updating records, sending notifications, checking forms and assisting with exit interviews. - Support the people team with various ad-hoc projects and promotional activities including co-ordinating regular internal employee events such as Wellness days. Systems and Processes - Take full responsibility for the HR records (electronic and paper files) and all people-related documentation, ensuring that everything is kept complete, accurate and up to date at all times; - Monitor the KPI metrics for HR service delivery and recommend any potential improvements to reduce risk, improve efficiency and provide a continuously outstanding employee experience; - Provide regular MI reports to help the People Team consider key workforce data and analyse emerging trends which may require strategic or operational adjustments; - Create and co-ordinate internal surveys on behalf of the People Team to obtain employee feedback when required. Risk and Compliance - Support the team in managing risk and compliance requirements to ensure that DPA, ISO, BCP and audit requirements are all met; - Manage daily (electronic) absence requests ensuring that all requests meet policy / process requirements, escalating promptly if there are queries / issues; - Monitor weekly timekeeping reports from Bangalore office to ensure the requirements around minimum hours and start/finish times are being met, escalating promptly if there are issues; - Provide support and assistance in employee relations cases when required by taking accurate meeting notes, compiling records and assisting with process requirements; - Any other duties that may reasonably be required from time to time.
