Our client provides a range of software solutions for universities, NHS and pharmaceutical companies in the areas of ethics review/approval and human tissue tracking along and online compliance training. They are a small IT software company based in Esher who are currently recruiting for an Office Administrator to join their team. The successful candidate will be helping develop, manage and support the global companies within the pharmaceutical industry. You will also support the general day to day running of the office, supporting finance, HR and Admin as and when necessary. Responsibilities / Duties: - Produce monthly Statistics - Answering all incoming calls in a timely and effective manner - Covering for helpdesk and fielding calls appropriately - Ordering of office stationery and products - Booking of all travel for staff within the business ensuring budgets are met and costs are kept as low as possible - Organising staff parties such as Christmas Party, Team Days, and monthly & quarterly management meetings - Organising customer events as required - Diary management and support to the CEO - Producing movement sheet weekly and daily sign-in sheets - Managing the boardroom diary - Dealing with all incoming and outgoing post including couriers - Managing staff holidays / sick days and general record maintenance of staff - HR Administration including issuing of new contracts, salary reviews appraisals and disciplinary letters - Liaising with recruiters on the PSL, organising interviews etc - Assisting the Finance team - Producing invoices, data entry of incoming/outgoing of invoices onto the internal accounting system - Managing petty cash and staff expenses - Making sure the kitchen is kept clean and tidy - Fire Warden and first aider Candidate Requirements: - Be able to work on your own and be self-motivated - Strong IT literacy, such as Excel & Word skills (must be comfortable with Excel Spreadsheets) - Excellent communication skills - Excellent spoken & written English To be considered for this role, please apply today.
