Main purpose of the role:

To support the Practice Operations Manager (POM) with the smooth operational running of the practice group in 4 More London
To support POM with implementing firm policies and processes, identifying any improvements to continually improve efficiency
Identify and address any people and work-related issues across the London based practice group with support from the POM or HR where necessary
Provide accurate, fair, timely advice and solutions on the implementation of the firm's policies
Provide group operational administration with Birmingham Practice Coordinator
Provide PA support to the group partner(s) and fee earner(s)
Be the London Practice Group liaison, building effective relationships with Birmingham based employees, Business Services, Intelligence Office promoting standardisation of approach where possible

Main Duties and Responsibilities

Operational and HR

Support with the implementation of firm policies and processes to support the practice area's efficient and effective operation
Drive efficiency in the group by identifying and implementing streamlining initiatives ensuring consistency between the two offices whenever possible
Coordinate the London PA resource
Attend and assist with relevant group events i.e. away days, AGM, forums
Promote single team culture
Support and drive high performance expectations leading by example
Co-ordinate the on-boarding process for new starters
Take sickness/absence calls for the Real Estate Group in London ensuring relevant team members are notified and the relevant absence policy is followed
Co-ordinate cover with PAs and raise any foreseeable concerns as appropriate
Manage resource queries/requests for urgent work/overtime ensuring POM is kept informed and approves all overtime requests
Oversee PA workload and drive team efficiency raising any concerns with POM
Identify performance and employee related concerns ensuring that POM is informed as required
Support POM with recruitment processes
Provide guidance to PAs with processing work experience request and administration; liaise with PAs, HR and POM as appropriate
Work with graduate recruitment with coordinating trainees and vacation students into practice group


Arrange and chair (if required by POM) regular SPA/PA meetings.
Troubleshoot daily maintenance, telephone and BIS queries for the group
Support POM on all aspects of Health & Safety liaising with Health & Safety Officer
Troubleshoot routine secretarial HR queries in POM's absence working under strict confidentiality and communicating all incidences to the POM in the first instance
Support POM with diary management and travel arrangements
Support with projects as required
Update practice structure documents reflecting accurate group data
Any other reasonable duties delegated by any Partner, Practice Operations Manager

Legal/professional services experience (desirable)
Demonstrate initiative and creativity
Ability to build good working relationships across the group Partners, PAs and fee earners with the ability to communicate confidently and effectively.
Advanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint research tools and other systems implemented by the firm
Excellent attention to detail
