Hours: 22.5 hours per week

JOB PURPOSE:
To work as a member of the facilities team to ensure efficient, effective and proactive running of the service. The facilities assistant role provides the backbone of Swiss Post Solutions (SPS) managed service operations, covering all mail, facilities and reception and switchboard roles. The post holder will perform a variety of tasks related to the above functions, and will flexibly and proactively respond to any client requirements as and when necessary.

DUTIES AND RESPONSIBILITIES:
• The post holder will be professional at all times when dealing with clients and proactively represent SPS on site promoting excellent customer service.
• Receiving, sorting and distributing incoming and outgoing mail.
• Use of franking machines.
• Assisting with setting up of meeting rooms.
• Dealing with enquiries from the client, both face to face and on the telephone.
• Filing and retrieving documents, within an established filing system.
• Booking and receipt of courier items.
• Processing of archive files and tracking signature movements using the onsite computer systems.
• Greeting & addressing all clients/guests in a professional and pleasant manner ensuring every first impression is first class.
• Answering all calls in an efficient manner, transferring calls as appropriate, assisting with any enquiries whilst ensuring the level of service on the telephone is exceptional.
• Answers, transfers and directs incoming calls using a computerised database for information access.
• Proactively deal with enquiries from the client, both face to face and on the telephone.
• Actively demonstrate a good knowledge of the client's services to assist in the seamless delivery of the customer's experience.
• Any other duties as required by the Operations Manager or Client.

PERSON SPECIFICATION:
The ideal candidate will display knowledge and experience of the following:
• Mailroom operations
• Knowledge of UK & international mailing arrangements.
• Customer service and complaint handling.
• Ability to communicate effectively in a variety of written and verbal formats with a wide range of people.
• Working shifts on a flexible pattern.
• Working accurately, under pressure, to tight deadlines.
• Basic IT skills - Word Processing, Spreadsheets, Databases, Email and Web.
