The Team

The Document Production team is based in London and the Global Service Centre (GSC) in Manila. The team provides evening, overnight and weekend document processing support for EMEA. The team is responsible for creating, editing and reformatting all types of documents consistent with the firm's precedents, templates and house style. The team provides document support Monday to Friday 17.30 - 09.30, Saturday 09.30 - 18.00 and Sunday 10.00 - 18.00.

The Document Production Technicians are based in the London office. They are responsible for providing document production support to the business and being a point of contact for fee earners/business services on queries and document production requests.

The Role

The Document Production Technicians are required to be proficient in problem solving lengthy and complex documents in the key applications (Word, PowerPoint, Excel and Visio).

We are currently looking to recruit 3 Document Production Technicians to work Monday to Friday, 17.30 to 1.30, and 20.30 to 4.30 on a 6 month fixed term contract.

Specific responsibilities include:

Technical ability
  • To produce and amend lengthy and complex business critical documents with speed and accuracy
  • To format, paginate, number and present documents in Norton Rose LLP house style
  • To proofread and check all work (both own and others) for spelling, grammar, formatting, presentation and sense
  • To be a highly knowledgeable user of key software packages (i.e. Word, PowerPoint, Excel, and Visio) and take responsibility for any training needs to improve relevant skills needed to meet the needs of the business. This includes working towards achieving Microsoft Office Specialist (MOS) qualifications in the key applications
  • To proactively work with other members of the team to make sure relevant documentation is produced to meet internal and external clients' expectations and deadlines

Administrative skills
  • To maintain and update entries on the team's work tracker
  • To be proactive in logging incoming work in conjunction with other team members
  • To take responsibility for ensuring that each piece of work is correctly saved and accessible by the fee earner, logged and returned to the sender with the appropriate communication
  • Be involved in sending work requests to the GSC team in Manila and proofing work returned - giving feedback on output
  • To attend and contribute proactively to meetings convened during operational hours
  • To carry out photocopying, scanning and other ad-hoc requests as required

Professional skills
  • To be proactive in clarifying instructions from fee earners/manager should they be unclear or if deadlines are not made explicit
  • To respond to internal and external telephone enquiries politely and professionally
  • To support other members of the team and to provide cover as and when necessary and to make sure that work is completed to a high standard and meets the required deadlines
  • To make sure that there is an effective and efficient handover of work between shifts and in particular good communication and links with other business support teams
  • To carry out any other duties as reasonably requested

General approach
  • To show a positive and 'can-do' approach and interest in the work that the team undertakes
  • To show initiative when responding to queries and to actively try and seek solutions to problem documents
  • To proactively share information in relation to document best practice or 'fixes' to document problems, consistent with the team's overall aim for excellence in accuracy and efficiency
  • To support and build working relationships with the team and to actively work for the interests of the whole team
  • To be flexible in meeting the needs of the team and the business - e.g. occasional shift changes (with reasonable notice) to accommodate meetings, training sessions, support requirements within the team etc
  • Reliability and punctuality are also key to enable the team to operate effectively

Skills and Experience Required
  • Established document production experience in a fast paced professional services environment using templates and House Style with exposure to working with lengthy and corrupt documents
  • Excellent accuracy and attention to detail
  • Typing speed of at least 65wpm and proficient in both audio and copy typing
  • Proficient user of Word, PowerPoint, Excel and Visio
  • Experience of working on and problem solving corrupt documents
  • Experience of using pdfDocs, Worksite and DocX Tools
  • Experience of working with scanned documents
  • Experience in proof reading work to ensure it meets client expectations
  • Ability to work under pressure and meet deadlines
  • Pro-active and positive with the ability to build effective working relationships
  • Ability to use initiative and problem solve document queries
  • MOS Word Expert Qualification (additional MOS qualifications PowerPoint, Excel and Outlook beneficial)
