These checks are only undertaken with consent, and in accordance with our legal and regulatory obligations Business Area - IT Role: Programme Support Analyst Location: London Reporting to: IT Infrastructure Programme Manager Hours of work - Monday to Friday, 9:30 - 17:30, however you will be required to work such hours as are necessary to carry out your duties. Department/ Role Overview: To provide admin assistance to the IT Infrastructure Programme Manager and across the KRATOS Programme. Main responsibilities: Work with project teams and business representatives to support Programme delivery, ensuring high level milestones and deliverables are defined, resourcing requirements understood, risks and issues managed and progress monitored; Engage with all relevant stakeholders and support the Programme Manager in providing regular communications & programme status updates, including Board report preparation; Maintain the central repository of Programme deliverables and process documentation in FileSite; Recording & monitoring Programme Financials (if appropriate); Develop & maintain the schedule for regular programme meetings; Maintain view of all team members' holiday plans; recruitment & on-boarding of new starters Arrange meetings, produce minutes from key programme meetings, maintain action log and follow-up on action updates Be the link with central PMO/Project office to ensure governance is adhered to, delivery is in accordance with the project office delivery methodology, and correct templates are used Manage programme mailbox (if appropriate) Act as central point of contact / backup for Programme manager Risk and Control: Ensure that all activities and duties are carried out in full compliance with our regulatory requires and internal policies. Essential skills and experience: Experience as a project administrator working as part of a busy project management team, ideally within a law firm. Working within a structured project framework Experience of using MS Excel and MS Project Experience of ensuring that projects are run in compliance with the Firm's requirements Providing guidance to project team on project approach Maintaining and integrating project plans Tracking and reporting overall progress of projects and programmes Establishing and maintaining the project & programme documentation library Monitoring resource utilisation Good understanding of soft skills involved in liaising with project managers and other staff members A good eye for detail; ability to work accurately and effectively even when under pressure Able to learn and understand processes used within the department Excellent analytical skills Excellent knowledge of all elements of the project lifecycle Able to manage multiple tasks concurrently Tactful and diplomatic when in pressured situations Excellent presentation, written and communication skills Uses initiative - 'can do' approach Desired skills and experience Familiarity with some or all of the following: Prince 2 or similar project methodologies Proven experience as a project administrator within a law firm Good Working Knowledge of Microsoft environments - Windows 7, MS Word, Excel, PowerPoint, Visio and MS Project Our Culture is shaped by our core values of Collaboration, Excellence, Innovation, Integrity and Accountability.
