Maintenance Administrator



Office Angels are representing a growing, nationwide company who are currently looking for a Maintenance Administrator to join their dynamic team at their funky Wimbledon office.

You will be part of an innovative, fun and friendly team and be responsible for providing administrative support to the maintenance department.

Your key responsibilities will include:

- Issuing new contracts and renewal documentation

- Updating the maintenance system for new and renewed contracts

- Manage and own sales quotations for additional works utilising client knowledge in addition to attaining quotations from suppliers and subcontractors

- Liaising with clients to proceed with quoted works and provide periodic updates on progress of aged quotes and highlight losses

- Maintain an active sales pipeline to provide a clear view of future business opportunities

- Liaise with the Sales Manager and the client to schedule in renewal meeting prior to contract expiry

- Schedule regular client review meetings with each client for the Sales Manager to attend, sourcing all relevant information from the Operations department

- Raise invoices for annual maintenance charges at agreed contract frequencies

- Maintain an accurate log of invoicing frequencies and amounts

- Taking and logging emergency call-outs and arranging for relevant engineer or sub-contractor to attend and keeping the client informed of engineers' approximate arrival

- Updating diaries

- Prepare and monitor key performance indicators

- Keeping a constantly updated list of contract details including telephone numbers and contact details

- Work with the support team to provide reception cover and assist other divisions when necessary

- Other ad hoc tasks

The successful candidate will ideally have the following skills / experience:

- Experience within a similar role within a facilities or maintenance department

- Strong administration skills

- Strong IT Skills including Microsoft Office Suite and CRM systems

- Flexible team working attitude

- Strong communication skills both written and verbal
