Role Purpose

The role holder will be responsible for delivering professional secretarial and administrative support to the assigned Senior Barclays Executive. They will be part of a dynamic PA team who ensure smooth running of the day to day with a shared responsibility.

Key Accountabilities

Management Support 80%
  • Supporting the Senior Barclays Executive with inbox management and diary requirements
  • Logistics for all meetings/workshops/events i.e. room bookings, VC requirements, catering both within UK and globally (internal and external)
  • Ensuring all agenda, packs and materials are compiled and printed before meetings, following up on actionable items and ensuring deadlines are met
  • Arranging travel logistics for both UK and International travel as well as arranging visas
  • Attending internal meetings where required, minute taking and tracking of actions
  • Act as go-to support for team members requiring help and ensure you become a subject matter expert on processes and document locations to aid with the smooth running of 'BAU'
  • Dealing with external visitors and conveying a professional image at all times
  • Establish & maintain strong relationships with stakeholders and their PAs to ensure positive interactions at all times.

Administrative Support 20%
  • Create and maintain records and filing systems with the teams which may include confidential/sensitive information
  • Maintaining departmental records, e.g. employee contact details and email distribution lists
  • Delegate support for approval/sign off within systems, where required
  • Help in processing expenses for the Management Team
  • On boarding new joiners and arranging seating requirements
  • Support on ad hoc projects as required
  • Provide cross-cover for other assistants in the wider team
  • Identify & introduce new practices and procedures to improve efficiency
  • May have to organise Team events /off-site events.

Stakeholder Management and Leadership

The role holder will be required to interact with the PA teams of other senior Barclays executives, the executives themselves and external supplier representatives. A polite approach is required, with the ability to be firm where appropriate.

Person Specification
  • Proficient in Outlook, PowerPoint, Word and Excel and comfortable using online tools
  • Ability to work quickly and accurately and remain calm under pressure
  • Be proactive and able to take the initiative
  • Ensure they are a strong communicator to ensure team PA community and Management are always aware of the current situation/status of things
  • Able to take ownership of tasks and projects seeing them through to completion
  • Organisational and multi-tasking skills - ability to prioritise and effectively manage a large volume of requests for different people
  • Be resilient, highly organised and able to cope in fast-paced environment, being both flexible and able to work across a range of issues
  • Have excellent interpersonal skills
  • Be able to work in a multi-site global team of PAs and ensure good working relationships are built to make certain work is completed despite time zones
  • Experience as a PA, working in a pressured environment.
