The Team

The Document Production Centre (DPC) sits within the wider Corporate department and is responsible for creating, editing and reformatting all Corporate documents consistent with the practice's precedents, templates and House Style. The DPC handles the processing of all copy, audio and scanned work and provides assistance to the department in relation to resolving problem or corrupt documents.

We are currently recruiting a Document Production Technician to work as part of a highly motivated team to provide a professional, high quality and efficient document production service to the whole Corporate Department.

The Role

The Document Production Technicians are required to be proficient in problem solving lengthy and complex documents in the key applications (Word, PowerPoint and Excel).

Shift times will cover the period 8.30am to 18.30pm. For this particular vacancy, the Document Production Technician will work the 10.30am - 18.30pm shift (some flexibility is required).

Specific responsibilities include:

Technical ability
  • To produce and amend lengthy and complex business critical documents with speed and accuracy
  • To format, paginate, number and present documents in Norton Rose Fulbright LLP house style
  • To proofread and check all work for spelling, grammar, formatting, presentation and sense
  • To be a highly knowledgeable user of key software packages (i.e. Word, PowerPoint, Excel, Visio and Outlook) and take responsibility for any training needs to improve relevant skills needed to meet the needs of the business. This includes working towards achieving Microsoft Office Specialist (MOS) qualifications in the key applications
  • To proactively work with other members of the team to make sure relevant documentation is produced to meet internal and external clients' expectations and deadlines

Administrative skills
  • To maintain and update entries on the DPC work log
  • To take responsibility for logging incoming work in conjunction with other team members
  • To take responsibility for ensuring that each piece of work is correctly saved and accessible by the fee earner, logged and returned to the sender with the appropriate communication
  • To attend and contribute proactively to meetings convened during operational hours
  • To carry out photocopying and scanning as required

Professional skills
  • To be proactive in clarifying instructions from fee earners/manager should they be unclear or if deadlines are not made explicit
  • To respond to internal and external telephone enquiries politely and professionally
  • To support other members of the DPC and to provide cover as and when necessary to make sure that work is completed to a high standard and meets the required deadlines
  • To make sure that there is an effective and efficient handover of work between shifts and in particular good communication and links with the overnight Document Production department
  • To carry out any other duties as reasonably requested

General approach
  • To show a positive and 'can-do' approach and interest in the work that the DPC undertakes
  • To show initiative when responding to queries and to actively try and seek solutions to problem documents
  • To proactively share information in relation to document best practice or 'fixes' to document problems, consistent with the team's overall aim for excellence in accuracy and efficiency
  • To support and build working relationships with the team and to actively work for the interests of the whole team
  • To be flexible in meeting the needs of the team and the business - e.g. occasional shift changes (with reasonable notice) to accommodate team meetings, training sessions, support requirements etc
  • Reliability and punctuality are also key to enable the DPC to operate effectively

Skills and Experience Required
  • Established document production experience in a fast paced professional services environment using templates and House Style with exposure to working with lengthy and corrupt documents
  • Excellent accuracy and attention to detail
  • Typing speed of at least 65wpm and proficient in both audio and copy typing
  • Proficient user of Word, PowerPoint, Excel and Visio
  • Experience of working on and problem solving corrupt documents
  • Experience of using Visio, Adobe Writer, DocX Tools and OmniPage
  • Experience of working with scanned documents
  • Ability to work under pressure and meet deadlines
  • Pro-active and positive with the ability to build effective working relationships
  • Ability to use initiative and problem solve document queries
  • MOS Word Expert Qualification (additional MOS qualifications PowerPoint, Excel and Outlook beneficial)
